Purpose of processing personal data
This register maintains job applicant files for use by recruiters, recruiting superiors, and internal assessors. It covers both position-specific and open applications.
Data content of the register
- Name, year of birth, contact information
- Language skills and professional skills
- Education and work experience
- Portfolio and work samples
- Test assignments
- Referee contact information
- Interview notes and recruitment process documentation
Regular sources of information
Applicants provide data directly. Information may also come from referees when applicants supply their contact details.
Regular conveyance of data and transfer of data outside the EU or European Economic Area
Personal data will not be transferred outside of EU/EEA countries, except through GDPR-compliant service providers or organisations adhering to the EU–US Privacy Shield.
Principles of register protection
Digital applications require username and password access. Paper materials are destroyed immediately after processing. Digital data is typically erased within 24 months unless the recruitment process requires longer retention.
Rights of the data subject
You have the right to request an overview of the personal data we process about you, and to request correction, deletion, or restriction of processing.
To file a request, please contact [email protected]. All requests must be sufficiently identified, justified, clear, and concern the requester themselves.
In your request please specify:
- What data you want to erase, rectify, or inspect, and what it is linked to (e.g. a job application).
- The justification for the erasure or the changes proposed.
- Your name and contact details (such as your email address or telephone number).
Please note that we do not handle insufficient requests and we cannot erase accounts or data handled by external parties such as Steam or Discord. If the request is unfounded or unreasonable, we have the right to refuse it. We may continue processing your data if we have a lawful basis for doing so.
Response timeline
We will reply to requests within one month. We may extend the processing period by up to two additional months for complex or numerous requests, and will inform you of any such delay within one month.
Reapplication
We recommend sending a new application after 6–12 months at the earliest.
